Welcome to Mail Club Hub. By accessing or using mailclubhub.com (the “Site”), you agree to these Terms of Use. If you don’t agree, please don’t use the Site.

These Terms govern your use of the Site, including browsing the directory, creating an account, submitting listings, purchasing courses, and accessing any content we provide. Please read them carefully.


1. Who Can Use the Site

You must be at least 18 years old to create an account, submit a listing, or purchase a course.

Users between the ages of 13 and 17 may browse the Site with parental or guardian consent but may not create an account, submit listings, or make purchases.

Children under 13 may not use the Site. Mail Club Hub is not directed at children. While we list snail mail clubs in a “Kids” category, those listings exist to help family, parents, and guardians discover clubs for their children.


2. Your Account

When you register for an account, you agree to:

  • Provide accurate and complete information
  • Keep your login credentials secure and confidential
  • Notify us promptly if you suspect unauthorized access to your account
  • Accept responsibility for all activity that occurs under your account

We reserve the right to suspend or terminate any account that violates these Terms or that we reasonably believe has been compromised.


3. Listing Submissions

Mail Club Hub is a curated directory. If you submit a listing for a snail mail club, pen pal program, course, or related service, you agree to the following:

  • Accuracy: All information you provide must be truthful, current, and not misleading.
  • Ownership or authorization: You must own or have authorization to represent the club or service you are listing.
  • No prohibited content: Listings may not contain content that is illegal, defamatory, obscene, discriminatory, harassing, or harmful in any way.
  • Our editorial discretion: We reserve the right to review, edit, reject, or remove any listing at any time, for any reason, without notice. Inclusion in the directory is not guaranteed.
  • No payment for placement: Unless we explicitly offer paid or featured listing options, placement in the directory is free and does not create a business relationship or partnership between you and Mail Club Hub.

Content License

When you submit a listing, you retain ownership of the content you provide (text, images, logos). However, by submitting it, you grant Mail Club Hub a non-exclusive, worldwide, royalty-free license to display, reproduce, and distribute that content on the Site and in connection with promoting the Site (for example, on social media or in newsletters).

You may remove your listing at any time. Once removed, we will stop displaying your content within a reasonable timeframe, though cached or archived copies may persist temporarily.


4. Course Purchases

Mail Club Hub sells courses on topics related to snail mail, letter writing, and running a mail club. When you purchase a course, the following applies:

  • Access: Course access is granted to the individual purchaser only and may not be shared, resold, or redistributed.
  • Payment: All purchases are processed through our third-party payment processor. By making a purchase, you agree to their terms of service as well.
  • Refund policy: All course sales are final. No refunds will be issued after purchase.
  • Content ownership: All course materials, including text, video, audio, images, and downloadable resources, are owned by Mail Club Hub and protected by copyright. You may not copy, reproduce, distribute, or create derivative works from any course content without our written permission.

5. Acceptable Use

When using the Site, you agree not to:

  • Use the Site for any unlawful purpose
  • Post or submit false, misleading, or fraudulent information
  • Scrape, crawl, or use automated tools to extract data from the Site
  • Attempt to access another user’s account or personal information
  • Upload viruses, malware, or any harmful code
  • Spam other users, listed clubs, or any contact information found on the Site
  • Impersonate any person or entity, or misrepresent your affiliation with any person or entity
  • Interfere with or disrupt the operation of the Site
  • Use information from the directory to compile mailing lists, send unsolicited communications, or market products or services without our written consent

We reserve the right to remove content and suspend or terminate accounts for violations of these Terms.


6. Intellectual Property

What We Own

Mail Club Hub owns or holds licenses to all Site content, including but not limited to: the Mail Club Hub name, logo, and branding; the Site’s design, layout, and code; all original blog posts, articles, guides, and editorial content; and all course materials.

You may not reproduce, distribute, modify, or create derivative works from any of our content without prior written permission.

What You Own

You retain ownership of content you submit to the Site, subject to the license granted in Section 3 above.


7. Affiliated Clubs and Services

Mail Club Hub is operated by the same owner as The Slow Mail Society and The Night Festival mail clubs. These clubs are featured on the Site and may be linked or promoted alongside other listed clubs.

The relationship between Mail Club Hub and these affiliated clubs is disclosed here for transparency. This affiliation does not affect the editorial independence of the directory or the inclusion criteria for other listed clubs.


8. Third-Party Links and External Clubs

This is important. Please read it carefully.

Mail Club Hub is a directory that links to external websites operated by independent third parties. When you click a link to an external club, pen pal program, or other service, you leave the Site.

We do not control, endorse, or guarantee any third-party website, product, or service listed in our directory. Specifically:

  • We make no representations about the accuracy, quality, safety, or legality of any listed club’s offerings.
  • We are not responsible for any transactions, communications, or disputes between you and a third-party club.
  • We are not liable for any loss, damage, or harm arising from your interaction with any external website or listed service.
  • Inclusion in our directory does not constitute an endorsement, recommendation, or guarantee of any kind.

You interact with third-party clubs entirely at your own risk. We strongly encourage you to review the terms and privacy policies of any external site before providing personal information or making a purchase.


9. Disclaimer of Warranties

The Site and all content, services, listings, and courses are provided “as is” and “as available” without warranties of any kind, whether express or implied.

To the fullest extent permitted by law, Mail Club Hub disclaims all warranties, including but not limited to:

  • Implied warranties of merchantability, fitness for a particular purpose, and non-infringement
  • Any warranty that the Site will be uninterrupted, error-free, or secure
  • Any warranty regarding the accuracy, completeness, or reliability of directory listings or any information on the Site

We do our best to keep listings accurate and the Site running smoothly, but we cannot guarantee perfection.


10. Limitation of Liability

To the fullest extent permitted by law, Mail Club Hub and its owner, affiliates, officers, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from or related to:

  • Your use of or inability to use the Site
  • Any content, listings, or information on the Site
  • Any transactions or interactions with third-party clubs or services listed on the Site
  • Unauthorized access to or alteration of your data
  • Any course content or its application

Our total liability to you for any claim arising from or related to these Terms or the Site shall not exceed the amount you paid to Mail Club Hub in the twelve (12) months preceding the claim, or fifty dollars ($50), whichever is greater.

Some jurisdictions do not allow the exclusion or limitation of certain damages. In those jurisdictions, our liability is limited to the greatest extent permitted by law.


11. Indemnification

You agree to indemnify, defend, and hold harmless Mail Club Hub and its owner, affiliates, officers, employees, and agents from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable attorneys’ fees) arising from:

  • Your use of the Site
  • Your violation of these Terms
  • Your listing submission or any content you provide
  • Your interaction with any third-party club or service found through the Site
  • Any claim that your submitted content infringes the intellectual property or other rights of a third party

12. Account Termination

We may suspend or terminate your account and access to the Site at any time, with or without notice, if:

  • You violate these Terms
  • We reasonably believe your account has been used for fraudulent or harmful purposes
  • We discontinue the Site or any part of it

You may delete your account at any time through your account settings or by contacting us. Upon deletion, your listings will be removed and your personal data handled in accordance with our Privacy Policy.


13. Changes to These Terms

We may update these Terms from time to time. When we do, we will update the “Last Updated” date at the top of this page.

For significant changes, we will make reasonable efforts to notify registered users — for example, by posting a notice on the Site or sending an email.

Your continued use of the Site after changes are posted constitutes your acceptance of the updated Terms. If you do not agree to the revised Terms, please stop using the Site.


14. Governing Law and Disputes

These Terms are governed by and construed in accordance with the laws of the State of California, without regard to conflict of law principles.

Any disputes arising from or relating to these Terms or your use of the Site shall be resolved exclusively in the state or federal courts located in San Diego County, California.


15. Severability

If any provision of these Terms is found to be unenforceable or invalid, that provision will be limited or eliminated to the minimum extent necessary, and the remaining provisions will remain in full force and effect.


16. Entire Agreement

These Terms, together with our Privacy Policy, constitute the entire agreement between you and Mail Club Hub regarding your use of the Site.
